Ramli realized that when we as Leaders start our projects we must have PDCA in mind ie.Plan-Do-Check-Action (system of control and execution)

Without these fundamental Good Mgmt practices we will landed up with failures and waste of time and resources as our projects become bad and poor outcomes.

When we practise all the nonsense mgmt styles we will get nonsense results that does not meet the targets or objectives of the projects concerned!

Wastes of time, money, human capital are too hard to bear nowadays when the world is experiencing lack of natural resources, good talents and capital!

We must always learn not to waste and maximise results with minimise capital!

One good example in Ramli’s place is the establishment of the Shah Alam Bus Terminal at Section 17 where due to careful analysis and need of customers, the authorities decided to establish the Bus Terminal or Station where all the Express Buses come here and commuters can now easily booked their tickets and can travel from Shah Alam to anywhere in West Malaysia!Thats so wonderful when before they must travel to KL to book their tickets and take the buses there. Now no more, all can be done at this Section 17 Bus Terminal with almost all the Major Bus Companies have station their buses here!

See the photos below when Ramli last night send his eldest daughter Nur Amirah to board the bus going to Kuala Trengganu to attend to her Convocation at UMT on 2nd October,2011.Tomorrow my wife will also board the Express Bus to go to KT.

Ramli have actually written on this waste elimination subject in his earlier postings in this blog and still feel this subject need to be seriously dealt with as Malaysia is really experiencing lots of wastes coming from bad decisions at Govt,Corporate and Rakyat levels. What are they?

At the Govt levels, the Top Leaders are to be blamed since their decisions have effected many people and many decisions have also become “bad” and did not produce the results as expected. The decisions to invest or appoint Top Mgmt for Govt Agencies have at times become bad and these corrupt leaders have effected billions of RM to be lost and can never be recovered again! There are also decisions made where our investments turn “sour” and no OUTCOME are realized just wasted efforts, time, resources and opportunities better spent elsewhere!

The study of eliminating waste is serious business, why? When we study all these Cost of Poor Quality (COPQ) we realized the importance to think, plan and act well plus our monitoring system. When we have done our PDCA well we can at least reduce or even eliminate the chances of errors happening! We make many errors everyday and some errors we do not know that we have made it,why?

Errors are a result of many reasons and the most important of all is our mistakes due to reasons like did not understand the subject or situation well or errors made due to poor judgement and no detailed planning. In quality we called it making quality at the design stage where we think quality right from the start of our product initial stage not when the product is almost completed and need final inspection.Like in the manufacturing of cars like Proton or Perodua, they need to ensure quality is important at the early stages and not ensuring quality at the final inspection stages!Thats dangerous thinking actually.

When we want to produce a ZD Car we must ensure all throughout the supply chain knows what is Zero Defect! The many vendors of Proton or Perodua MUST guarantee a ZD status of their products before supply to their Main Customer! So that means quality input will result in quality output!

Many people think quality is the Quality Manager’s job and others have only secondary responsibility! This is wrong and everyone is responsible for quality of their products and services.

When we have almost 28 million Malaysians and if everyone of us think quality is important then the whole country can realistically become a Quality Nation and that also means quality output and minimal errors or defects. When we work or do it right first time (DIRFT) we will produce error free work or actions!Errors caused wastage and wastage in terms of time, lost opportunities, wasted resources like manpower used and raw materials used can be curtailed and put to better use.We need to work rightly  and producing what we have planned for and not making mistakes and piling up lots of wastages in the dust bins ready to throw as wastes or recycle for recovering what we can again.

Every hour Malaysia will lose millions of RM as a  result of poor decisions, poor conditions and errors made! Our Klang Valley transportation woes or problems also caused lost of thousands of hours of productivite time for all commuters when they should be quick to their destination but with all the “crazy” jams around KV,people get caught in the traffic and this situation seems to go on day after day, week after week, month after month and worst of all year after year without SERIOUS determination to STOP THE PROBLEM.

WASTE is so important to stop especially when a country or company find so difficult to make profits by sales or new product or service introduction. So,all the efforts to use the “head” to stop all wastes in our location is the best thing or action to take. When we do it right the first time we reduce or eliminate to call our people via telephone or memos or sms about our meeting dates or to attend a training programme scheduled in the month or quarterly scheduled. All these extra work of trying to make it right are WASTES!This must be curtailed or best STOP.

There are many ways to eliminate waste and among them are understanding the 7 sins of MUDA..Ramli will write on this subject later in this BLOG..so watch out for the next posting….

In Malaysia today, our PM have stressed many times of the focus on the OUTCOME of all our projects undertaken where it is important for Malaysia to produce the Great Big Fast Results so that the 1Malaysia Mission can be accomplished before 2020.Can we do it?Is it the right approach of thought and action?

When YOU study about Total Quality Management (TQM) the Mahagurus of TQM have always emphasised the importance of making sure all the processes are done right and correct. It is not good enough just being efficient(doing it right) but we need also to be effective (doing the right things right all the time)!

Dr.Deming’s System of Profound Knowledge can assist Top Leaders and Management understand these 4 fundamentals points in Management:

1.Appreciation for a System

-a system is a series of functions or activities within an organisation that work together for the aim of the organisation.

-the aim of the system must be clear to everyone in the system.Without an aim, there is no system

-Management of a system, therefore, requires knowledge of the interrelationship between all the subprocesses within the system and of everybody that works in it.

-Management’s job is to optimize the entire system

-When we optimize our own departments,we may suboptimizing the entire company!

-if someone loses, how can the corporation optimize its aim?

2.Theory of Variation

appreciation of a stable system

-understanding of special causes and common causes of variation

-knowledge that variation will always be there, between people,in output,in service,in product

-knowledge of the difference between a stable system and a capable system

-knowledge about the different kinds of uncertainty in statistical data

-and many more

3.Theory of Knowledge

-Management to be succesful, must be able to predict, with some confidence, the future.

-to do this we need a theory about specific future behavior

-Theory lead to questions.Without the right questions, experience and examples teach nothing

-20 years of experience may only be 1 year of experience 20 times over (or less)

-there is no such thing as a true value.there exists only the result of a procedure

4.Understanding of Psychology

Intrinsic Motivation -this is the motivation that comes from within people. We have chocked it off

-Extrinsic Motivation-this is external motivation from outside factors. Our system of rewards has ruined us.We have tried extrinsic motivation on a huge scale like in Northern America. Our emphasis on extrinsic motivation has smothered intrinsic motivation.

-Over-justification can destroy intrinsic motivation

-it must be kept in mind that reward systems have to be carefully selected to avoid problem of over justification.

More notes:

-the easiest way to improve the profits was to cut costs.(It’s as if no one thought the best way was to increase sales!!)

-at my company we have an elaborate system of management by objectives. We do much “negotiating of goals”,then we all figure how to be sure we look good on paper when review time comes.Right before the review, people will do anything to ensure that their individual or group goals (like your KPIs) are met on paper. To heck with anyone else!

some videos on Dr.Deming’s teachings:

Report: Toyota chief visits dealership, apologizes

TOKYO (AP): Toyota’s president visited a dealership in Tokyo on Saturday and apologized over troubles that have prompted the world’s biggest automaker to recall some 8.5 million vehicles, a news report said.

Akio Toyoda, a grandson of the company founder, told at least one customer having a Prius repaired that the company had “caused concern,” Kyodo News agency reported.

Toyoda also asked an official at the dealership in Musashino if the recall process was going smoothly and offered encouragement, Kyodo reported. The news agency said the appearance was an attempt to show Toyoda is taking the lead on the recall issue.

Toyota’s top executive has been criticized for the company’s perceived slow response to the recalls that have sullied the company’s image for quality and safety. He kept a low profile during the initial recalls late last year but has been more visible recently, giving two news conferences and publishing an opinion column in The Washington Post.

Officials at Toyota could not be reached late Saturday for comment on the Kyodo report.

Toyota Motor Corp. is recalling about 8 million cars for a gas pedal that can stick in the depressed position and floor mats that can get stuck under the accelerator.

On Tuesday, the company announced a recall of 437,000 Prius and other hybrids over brake problems.

Toyoda has apologized repeatedly and vowed to win back customer trust. The company is setting up a special committee focused on improving quality and plans to disclose vehicle problems even when it is not legally required to do so.

The U.S. Congress is scheduled to hold hearings on Toyota’s recalls on Feb. 24-25 and March 2. Toyoda is expected to visit the United States early next month, though the company says nothing has been decided on whether he will attend any hearings.
